1.6.17 6 Business Phone Features You Need in 2017

6 Business Phone Features You Need in 2017

Being the tech savvy and business smart entrepreneur that you are, you know that a nimble, easy-to-use business phone system is a must-have to stay connected in 2017 — so why is it that although communications technology continues to make strides every year (both in terms of convenience and cost-effectiveness), we continue to see antiquated phone systems in small businesses around the country? Let’s do more this year to leave the old behind and rally around change for the better!

One key to making business communications effortless is to incorporate what you already have and use with what’s new and simple. For many small ventures, “business phone system” doesn’t have to revolve around special phone equipment and/or expensive contracts with local carriers.  There are services that quickly, easily, and affordably allow you to set up a business phone number and advanced business calling features. For example, with a virtual PBX service (like Cloud Phone!) you can instantly set up a business phone number that routes to your existing phone(s), among many other handy business features. This means you can easily use one device for all calls, but still keep your personal and business phone presence separate.

So what are some of the awesome features of such a virtual business phone system? Here are 6 of our faves:

electronics-1851218_1280

  1. Extensions

Something that’s a basic but important feature within a traditional business phone system is the ability to set up extensions, in case your callers need to reach a specific person or department within your small business.  The nice thing about the business phone number (called a virtual number) that you set up through a virtual PBX service is that you can also set up extensions that route calls to the cell phones of your business colleagues and/or employees, thereby bypassing the traditional type of business phone system setup entirely without losing the necessary connectedness.  It’s so easy and doesn’t require any special equipment — just makes efficient use of everyone’s existing phones, cutting out the expenses and keeping up with customer expectations.

  1. Business SMS

Texting is the new calling – and has been for a while – so why are some businesses so anti-text? Maybe because their current business phone systems don’t support it. But there are virtual PBX services that do. For example, two-way texting is complimentary with Cloud Phone subscriptions, allowing you to quickly and easily send and receive text messages from your business number.

  1. Voicemail Transcription

Voicemail transcription puts all your voice messages into text so you can easily read them, then delete or save for later. One of our all-time favorite features, voicemail transcription is a great tool for busy people because it allows you to read a message if you’re in a meeting, check in on past messages without sorting through annoying voice files, or even forward the message to someone who can take care of the matter – all with just a click of a button.

  1. Management Portal

User experience is important because it can make managing and customizing your business phone system simple and easy (as opposed to a waste of  precious time!).  With the right virtual PBX service, the management portal allows users to quickly access call logs, update settings, change billing info, upgrade plans, add numbers / extensions, contact support – and best of all, you can access it from any location or device.

  1. Conference Calling

With a solid virtual PBX service, you can connect several callers at the same time on one call – which means even with dispersed team or clients across the country, you can still get work done. Conference calls save time and confusion from relayed messages, plus in 2017 we all know collaboration is the key to success.

  1. Call Recording

Have you ever been on a call only to hang up and then instantly forget an important detail? Or have a client call in with a support issue you wanted to forward to your tech crew? With call recording you can listen in on your past calls to review details like new phone numbers or confirmation numbers, monitor support issues, and to forward a recording to a colleague.  Bye-bye paper and pencil!

Among your New Year’s resolutions for your small business: re-evaluate your current phone communications approach and try simplifying!  From the joy you feel when not spending a fortune on your business phone system to the points you’ll score with your team and clients for staying on top of business communications, we know adopting new phone communications tools like a virtual PBX service will make 2017 better and brighter.

While planning your business venture, you’ve been giving out your personal cell phone number, but now that you have client-facing employees who also deal with vendors, partners, etc., you want a unified business image, which starts with a single, centralized business phone number. Since you don’t have a physical office, you’ve been exploring the concept of a cloud-based phone service that allows you to assign simple extensions to your virtual employees stemming from your main business line.

3 Voice Communications Strategies That Will Make or Break Your Customer Communications – 5.5.17

Effective communication with clients is key to long-term business success. Small business owners are always thinking about new ways to reach and stay in touch with their customers – from social media to text to email to video chat. But even with all these new communication channels, savvy entrepreneurs know that their phone etiquette is critical to initiating and maintaining strong customer relationships.

So what exactly do your customers expect from your business with regards to phone communications and how can you provide it?  Here are three expectations that customers have and how to address them…

  1. Customers Expect Businesses to Answer Promptly
  • 3 out of 4 people think that calling is the most effective way to get a quick response – NewVoice
  • 85 percent of people whose calls aren’t answered will not call back – message-direct.co.uk

Solution: Rather than relying on traditional business phones that require special equipment, professional setup, and a wall jack, switch to a virtual PBX service. Virtual PBX services (like Cloud Phone) enable you to get a dedicated business phone number online and route it to your mobile device. With some services, you can do this in just a few minutes. Virtual PBX features allow you to be responsive to your clients anytime, anywhere – giving them the service they crave.

  1. Create a Professional Phone Presence
  • 25 percent of customers feel they’re kept on hold too often – NewVoice
  • More than half of callers get irritated if they don’t speak to the right contact immediately – NewVoice

Solution: Consider virtual numbers. Say you have several Etsy shops — you can easily sign up for multiple virtual numbers and assign them to the different shops or product lines. Virtual numbers can be routed to the most relevant colleagues for each designated area of your business, even if they just have a mobile phone as their sole calling device. Virtual numbers are also very useful for geographically disbursed businesses. The seamless call routing, regardless of location, makes your business look ultra professional.

  1. Provide Excellent Customer Service
  • 66 percent of customers will switch companies because of poor customer service – Accenture
  • 40 percent of customers will look to purchase from a competitor because of their reputation for great customer service – Zendesk

Solution: While we don’t know the answers to all of your customers’ questions, we do know that in many fields and types of business, providing a clear and simple way to reach you via phone is essential to having a strong reputation for customer service. Some questions are just too complex for online or social channels, so customers prefer to call. Sometimes, customers just like to call instead of research online, and for the simpler inquiries, features like custom voicemail messages can be very useful as they allow you to share important information upfront, which, at times, takes care of the question right away.

  1. Solve Problems Fast
  • 62 percent of customers have to repeatedly contact a company to resolve an issue – Harvard Business Review
  • 86 percent of people are happy to pay up to 25 percent more if they get the right customer experience – RightNow

Solution: Use features like “reach me” call forwarding, which dials multiple numbers on your list to reach you, as well as voicemail transcription with email and SMS notifications so that you are on top of the calls and voicemail messages you are receiving from customers. Take advantage of modern telephony conveniences to be instantly made aware of any major issues that your customers are experiencing and calling you about. With all these ways to stay in touch, there’s no reason to let a call go unanswered.

Phone etiquette is vital to the overall health of your small business’ client communications. It does not take a lot of effort (and money!) to provide effective, fast customer service, and the benefits will surprise you. With just a few minutes of set up time, you can soon be taking and making business calls from anywhere.

8 Tips for Effectively Using Your Business Voicemail – 2.13.17

8 Tips for Effectively Using Your Business Voicemail

You have a business phone line and with it you probably have a voicemail box — but are you using it to its full potential? While a voicemail box seems pretty straightforward, there are a few steps you can take to make it a valuable marketing and customer service tool.

Let’s take your own experience into consideration here. When you reach a business voicemail, you expect to hear the basics: who you’re calling and a prompt to leave some sort of information. But what if you were also told what information you could leave to expedite your request, or better yet, if the voicemail greeting contained all the information you were calling about and your problem is solved — you would be a happy customer, right? Right.

Now it’s your turn. Here are a few easy tips to get your business voicemail up to speed.

  1.     Identify your business

Have you ever called a business and been unsure if you dialed the right number – even after you reached a person or a voicemail message? You probably felt confused and frustrated. Clearly stating who you are (when applicable) and your company name will reassure callers they’ve reached the right number – while also reducing the number of hang-ups, redials and irrelevant messages from accidental callers. This is also a great opportunity to insert your marketing message/tagline. Take full advantage of voicemail as a customer touchpoint – why not?

  1.     Be personable

Your business voicemail must be professional, but that doesn’t mean it has to be boring. Incorporating your brand’s voice and tone will reinforce your brand image through the voice channel and is a great way to impress and engage your callers.

  1.     Provide useful information

Sharing important information on your business voicemail greeting – like business hours, when you expect to respond, and where callers can find information to frequently asked questions – saves you time listening and answering to unnecessary messages, while also providing instant support.

  1.     Ask for information

Asking for a caller to leave a name and number is standard in voicemail greetings. While this may suffice for some, other businesses require information like order numbers, best call back times or company names to effectively help a caller. Asking for this information up front saves you time, reduces the risk of phone tag (a very hazardous disease that plagues many small business owners) and helps you provide a prompt response.

  1.     Remember: practice makes perfect

You’re not going to nail the perfect voicemail greeting on the first try, but that’s okay! Writing out your voice message and practicing your greeting will allow you to hear where there may be confusion – plus, the more you practice the wording the more natural and professional it will sound. Don’t forget to limit background noise, stay upbeat and on message!

  1.     Make sure you have voicemail transcription

Setting up voicemail transcription is a breeze – and you’ll be glad you did. Just make sure that the business phone service you are using offers a voicemail transcription service that transcribes all voice messages into text, allowing you to read the message just like an email. Not only is this a time saver, but it’s also very convenient. Saving, reviewing, forwarding and deleting voicemail is easy, and best of all you won’t need to listen to long winded voicemails to get the details!

  1.     Consider department-specific voicemail

If you run a business with multiple phone numbers or department extensions (even if the department is one person), creating department specific voicemails that ask for and provide useful information will allow your team to act faster than if all messages are stored in a central voicemail box. Callers will also feel confident in reaching the specific person or department they intended.

  1.     Keep it fresh

When things change that impact your customers, like holiday hours, a new deal or a change of address, don’t forget to update your voicemail. Noting if you’re out of the office and who to contact in the meantime is also useful. Keeping your customers in the know, especially when it comes to time sensitive information, is something they will appreciate.

From clearly stating information, to matching your voicemail message to your brand and of course, practicing before you hit save, applying these tips will help you create an effective voicemail message, like one you would want to receive. Now go ahead and get started! If you need some more pointers, connect with us by commenting here or on our social channels — we’re happy to help!

Cloud Based Phone Systems Stand Up to Bad Weather

We’ve written in the past about how virtual numbers can help you avoid a dangerous winter commute, but there are many other ways to leverage the benefits of a cloud based phone system in order to “weather the storm”. Lately, we’ve been witnessing the power of Mother Nature at work, from the wet El Nino rain in the western states to the heavy snowfall in the east which has left many workers stranded. Cloud Phone 101: How to Customize Your Cloud-Based Phone Service Settings

For a small business on the go, the mobility that a cloud-based phone system affords can be a life-saver. Say you own a mobile car wash and detailing business. You have two employees who travel around the county washing and detailing cars by appointment. You don’t have a physical office since your team is always at different locations. Instead you use a cloud-based phone service that works with your smartphone to keep you connected with calls to your virtual office and your employees through a single business line with extensions.

Someone on the team may prefer to receive voicemail notifications by SMS because they don’t check email often enough, while others may prefer email communications, so as not to have any disruptions during an ongoing job. Also, some employees may find listening to full voicemails to be inefficient, and may instead opt for enabling voicemail transcriptions, such that the fully transcribed voicemails are emailed or texted to their mobile phones in order to quickly assess the urgency of the phone message.

In today’s mobile world, where it seems like everyone has a cell phone and can call long distance without paying extra, you may be wondering why 800 numbers still exist – after all, they are only useful for landlines and no one has those! Well, this perceived reality where landlines are totally gone, is just not the case. According to a Center of Disease Control (CDC) survey, nearly half of all Americans still have a landline, 41% of Americans maintain landlines (Source: CDC). What’s more, the CDC also reports that 29% of 24-34 year-olds use a landline to keep in touch (in combination with a cell), and 15% of people living with non-family members still have landlines as well.

How a Virtual Phone System Could Give Your Etsy Business a Professional Presence – 5.24.16

How a Virtual Phone System Could Give Your Etsy Business a Professional Presence

You’re thinking about starting an Etsy business and one of the things you will need is a phone system. But, your team works from home− knitting scarves, making necklaces, crafting anything and everything− or you are a one person operation. For you, it just doesn’t make sense to buy a traditional phone system so instead you’re considering getting a virtual phone system. What is a virtual phone system and what does it mean for you? A virtual phone system is a phone system that’s entirely in the cloud – you get a dedicated business number and many powerful business-grade telephony features that are associated with it, but no hardware. All you need is your own existing mobile phone (or any phone, really!) − no special skills, or other equipment necessary! All calls to your virtual number (a.k.a. your dedicated business phone line) are directed to your mobile phone, and/or any other phone(s) of your choice, and can help your business convey a professional image, while staying connected and organized.

Etsy_art1_supplies_business.jpg
Here are some features you’ll love:

One central number that routes to different departments (customer service, sales, billing, etc.). Even if you don’t actually have different departments, but your store carries multiple products, or you have multiple stores on Etsy, or several employees who handle different aspects of the business, it is convenient for you and your customers to have a central and clearly organized hub for communication. When your Etsy customers call about anything associated with your products, not only will they be directed to the correct line, allowing you and your team to address the inquiry quickly, but they will also get the impression you are a professional, booming business!

Voicemail transcription helps you keep customer messages organized. If you’re a musician or a potter (or perhaps someone who manages an Etsy store as a side business to a day job) you know that answering the phone isn’t always possible – plus who wants clay all over their device?! So, rather than going through all your messages and listening for specific requests and call back numbers, voicemail transcription automatically creates text and email messages that you can easily read and reference.

Professional greetings give your business legitimacy. No matter what kind of store you own or how long you have been in business, customers receiving your professional voicemail message will have more trust in your operation. Customization also lets you change the message whenever you’d like, allowing you to brand your business and keep your customers up to date on important information – holidays, when you’re on vacation, if certain products are out of stock, etc.

Instant set-up means that once you decide you want a virtual phone system, you can set it up in minutes. There’s no need for professional help or maintenance, so your phone line will never be down, and your customers will never be without support.

Scalability allows you to add lines or remove lines as your team changes − paying for only what you need and keeping your overhead low. This is the perfect solution for seasonal Etsy business like a Christmas décor store or a jewelry maker that brings extra team members on to help handle skyrocketing sales for Valentine’s Day.

Mobility lets you and your team to work from anywhere while still staying connected. If you want to go on vacation, relocate your business or hire a team member on the other side of the country, a virtual phone system has the functionality to accommodate all your moves without a hitch.

With all the professional perks and cost savings that come with a virtual phone system, your business (and wallet) can’t afford not to try it out. Give your Etsy home business a big business image with a virtual phone system and be sure to let us know how much you love it!
